1. Use of AI Technology in Consultations
To support high-quality patient care and effective communication with your specialist care providers, our practice uses secure AI technology that may operate in the background during your consultation. This assists in accurate documentation. All data is securely protected in accordance with privacy standards, and remains on-site in Australia.
By proceeding, you consent to the use of this technology. If you do not consent, please inform our reception team or your doctor prior to your consultation.
2. Use of Overseas-Based Administrative Support
Some of our team members may be based outside of Australia. All data accessed or handled by these team members remains securely stored within our clinical software, which adheres to strict privacy and cyber security protocols.

3. Payment and Fees
Our practice operates under an automated payment system via a secure, bank-grade encrypted payment gateway.
Telehealth appointments: Valid credit card details must be securely stored in our system prior to your appointment, and the consultation fee is automatically processed upon completion of your consultation via Halaxy’s secure payment gateway. Online card payments incur a processing fee set and charged by Halaxy – our practice does not retain any part of it.
In-person appointments: Payment is required at the time of consultation.
Medicare rebates: Provided you have a valid Medicare card and referral, you may be eligible for a rebate for your consultation. A gap fee applies to all consultations and may vary depending on whether this is your first or a subsequent consultation, and the complexity or duration of the appointment. As a guide, the gap fee is typically around $275 for an initial consultation and around $200 for a follow-up consultation – contact the practice for a precise indication of price before your consultation. Following your consultation you’ll receive an invoice for the exact amount; any applicable Medicare rebate is processed automatically, so you do not need to attend Medicare in person to receive it. Contact the practice if your rebate has not come through within a reasonable timeframe.
If a stored card is declined: We’ll contact you directly to arrange payment by an alternative method. Your appointment and ongoing care are not affected while this is resolved.
Cancellations and No-Shows
Booking cancellations are accepted without fee until 24 hours prior to the appointment.
A late cancellation (less than 24 hours’ notice) incurs an administrative fee of 50% of the total consultation fee.
A no-show – including arriving or logging in more than 10 minutes late – is treated as a no-show and incurs an administrative fee of 100% of the total consultation fee; the appointment may need to be rescheduled.
These administrative fees are not eligible for Medicare or private health insurance rebates.
Additional Fees
Paperwork / Urgent Requests ($125): Covers NDIS applications or employer forms requiring extensive reports and/or additional assessments outside usual practice (e.g. objective questionnaires). Requesting documentation within 24 hours attracts a further $100 early-processing fee. Please let our administration team know in advance of an appointment if paperwork is required, so we can plan the appointment accordingly.
Urgent Appointment Review ($125): For requests reviewed within 48 hours.
Medical Emergencies: If you are experiencing a medical emergency, call 000 or attend your nearest emergency department.
